Urbanice, which is operated by The Living OS Corporation Ltd, (hereinafter referred to as "we") respect the rights to privacy of our members (hereinafter referred to as "you"). We use your personal data in this regard to, for example, provide you with services and products, manage your account, make deliveries, handle complaints, send notifications, identify you when communicating with other users, where enabled by the relevant community process vehicle registrations, verify vehicle ownership or occupancy information, issue vehicle stickers or registration status, support access control or parking-related administration, where enabled by the relevant community process pet registrations, verify pet ownership or residency-related information, review pet profiles or supporting documents, where enabled by the relevant community process visitor or pre-registration records, create or display visitor cards or QR codes, verify visitor identity or visit details, record entry and exit information, where enabled by the relevant community process SOS or emergency-service requests, review emergency or service details, coordinate with community administrators, security personnel, or relevant users, record or track response status, process online purchases through Living Mart, arrange product delivery, store delivery addresses, process payments, coordinate orders, returns, tax invoices or billing documents, and perform other activities in accordance with the terms and conditions on the use of the platform.
1.2. We process your personal data to because it is necessary for the purposes of the legitimate interests pursued by us or by a third party. Examples of what your personal data is processed in this regard are as follows:
1.2.1. To manage, develop, and conduct our business operations which include performance of obligations under franchise agreement, administration and development of websites and applications, fraud prevention and detection, crime prevention, relationship management for current and potential customers, maintenance of information technology (IT) systems;
1.2.2. To protect your security such as provision of security measures, protection of your personal data, access control and identity authentication when you log in to your user account;
1.2.3. To conduct marketing research and data analysis such as to conduct questionnaires and interviews with you, to analyze your use of our website and application; and
1.2.4. To establish, exercise, or defend your or our legal claims.
1.3. We process your personal data to because it is necessary in order to protect vital interests of you or of another person. We process your personal data to, for instance, make contact in case of emergency and control and prevent disease.
1.4. We process your personal data to because it is necessary for compliance with a legal obligation to which we are subject.
1.5. We process your personal data to because it is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in us.

2. Personal Data We Collect
2.1. When you create an Urbanice user account, we collect your personal data about: name, email address, social media account, photograph or picture, gender, and date of birth (the information about your gender and date of birth is optional).
2.2. With your consent and only as necessary, we collect information concerning and contained in your electronic device such photos, pictures, camera when you visit our website of application.
2.3. When you contact us or participate in any activity with us, such as contacting the contact center, take part in a customer satisfaction survey, and participate in our loyalty activities; we collect the following personal data:
2.3.1. Personal information, such as name, photograph, gender;
2.3.2. Contact information such as telephone number, email , address;
2.3.3. Information regarding your complaint;
2.3.4. Information about your participation in our activities, such as previous history of activities, photographs taken during your participation.

However, we will process your special categories personal data only when you give us explicit consent or for other purposes as required by law. We will ensure that adequate security measures are in place to protect your special categories personal data.

Where enabled by the relevant community, for vehicle-related services, we may collect additional personal data such as registrant name, unit or house number, residency status, vehicle type, vehicle category, license plate number, province, brand, model, color, year, sticker number or registration status, vehicle photographs, and supporting documents that you submit such as copies of vehicle registration documents, identification documents, or other evidence used for verification. We may also collect records relating to submission, review, approval, rejection, amendment, cancellation, and use of such vehicle registration information.
2.6. Where enabled by the relevant community, for pet-related services, we may collect additional personal data such as registrant name, unit or house number, residency status, pet name, pet type, breed, color, age, gender, sterilization status, vaccination information, microchip number, pet photographs, and supporting documents that you submit such as vaccination records, pet licenses, medical certificates, identification documents, or other evidence used for verification. We may also collect records relating to submission, review, approval, rejection, amendment, cancellation, and use of such pet registration information.
2.7. Where enabled by the relevant community, for visitor-related or i-Pass services, we may collect additional personal data such as visitor or pre-registered visitor name, identification card number or other identity verification information, visitor category, destination unit or house, vehicle details including license plate number where applicable, photographs of the visitor, images of identification cards, visitor cards, or other supporting evidence used for verification, start and end validity dates or entry and exit time, and records relating to submission, approval, rejection, amendment, cancellation, identity verification, and use of such visitor-related information.
2.8. Where enabled by the relevant community, for SOS or emergency-and-service-related services, we may collect additional personal data such as the name of the requester, source unit or house, telephone number, emergency or service category, incident details or destination details, number of persons involved where provided, text, images, or other information submitted through the system, the date and time of the report, response status, and records relating to coordination, follow-up, or closure of the relevant incident or request.
2.9. For the Living Mart online shopping service, we may collect additional personal data such as the name of the purchaser or recipient, telephone number, delivery address, related place or community information, order details, product items, price, payment method, payment or return status, tax invoice or billing name and address, taxpayer identification number, national identification number where used for individual tax invoice issuance, company name or corporate information where tax invoices are issued in the name of a juristic person, and records relating to order coordination, delivery, receipt, returns, refunds, or issuance of tax documents.
3. Cookies and Other Similar Technologies
3.1. We use cookies and similar technology to collect personal data as specified in our Cookies Notice.
4. Consent, Withdrawal and Consequences
4.1. You are entitled to withdraw your consent at any time but such withdrawal will not affect the validity of the processing made prior to the withdrawal of consent.
4.2. Your withdrawal of consent or refusal to provide certain information may result in us being unable to fulfill some or all of the objectives stated in this privacy notice.
4.3. If you are under 20 years of age, you shall, prior to giving the consent, inform us of your parent or guardian so that we shall also be able to ask consent from them.
5. Retention Period
5.1. We will retain your personal data for the period necessary to meet the objectives unless the law requires longer retention periods. In the event that such period is unclear, we will retain the data for a customary expected period in accordance with retention standards (e.g. the prescriptive period of 10 years for general legal claims).
5.2. We have established an auditing system to delete or destroy your personal data when the retention period expires or when it becomes irrelevant or unnecessary for the purposes of collecting that personal data.

Where enabled by the relevant community, for vehicle registration information and supporting documents, we may retain the data for as long as necessary for vehicle registration, verification, community administration, dispute handling, audit, legal compliance, and security purposes, and for an additional period after cancellation, move-out, rejection, or termination as required by applicable law, community rules, or our internal retention standards.
5.5. Where enabled by the relevant community, for pet registration information and supporting documents, we may retain the data for as long as necessary for pet registration, verification, community administration, complaint handling, audit, legal compliance, health and safety management, and security purposes, and for an additional period after cancellation, move-out, rejection, pet removal, or termination as required by applicable law, community rules, or our internal retention standards.
5.6. Where enabled by the relevant community, for visitor registration, pre-registration, visitor cards, QR codes, and supporting documents, we may retain the data for as long as necessary for access control, identity verification, community administration, incident review, audit, legal compliance, and security purposes, and for an additional period after completion of the visit, expiry, cancellation, rejection, or termination as required by applicable law, community rules, or our internal retention standards.
5.7. Where enabled by the relevant community, for SOS or emergency-and-service-related data, we may retain the data for as long as necessary for incident intake, coordination, follow-up, incident review, security, community administration, legal compliance, and the management of disputes or complaints, and for an additional period after the incident or service request has been completed as required by applicable law, community rules, or our internal retention standards.
5.8. For Living Mart online shopping data, we may retain the data for as long as necessary for order processing, payment, delivery, returns, refunds, after-sales service, fraud prevention, audit, bookkeeping, and compliance with tax and other applicable laws, and for an additional period after completion of the transaction as required by law, accounting or tax standards, or our internal retention standards.
6. Disclosure of Your Personal Data
6.1. We disclose and share your personal data with:
6.1.1. Companies in our group (“affiliates”) and partners who provide services and sell products relating to construction materials and home appliances and

Where enabled by the relevant community, for pet-related services, your personal data may be disclosed or made accessible, on a need-to-know basis, to residential juristic persons, community administrators, committee members, security personnel, relevant operations staff, veterinarians or animal-control related service providers when necessary, and service providers involved in pet registration, document verification, complaint handling, health or safety management, data hosting, or other related services.

Where enabled by the relevant community, for visitor-related or i-Pass services, your personal data may be disclosed or made accessible, on a need-to-know basis, to residential juristic persons, community administrators, committee members, security personnel, relevant operations staff, visitors or residents involved in the relevant pre-registration request where necessary, and service providers involved in visitor management, visitor card or QR code generation, access control, identity verification, document verification, data hosting, or other related services.
6.7. Where enabled by the relevant community, for SOS or emergency-and-service-related services, your personal data may be disclosed or made accessible, on a need-to-know basis, to residential juristic persons, community administrators, committee members, security personnel, relevant operations staff, residents or users involved in the relevant incident or service request where necessary, and service providers involved in incident reporting systems, communications, data hosting, or other related services.
6.8. For the Living Mart online shopping service, your personal data may be disclosed or made accessible, on a need-to-know basis, to relevant merchants or sellers, payment service providers, logistics or delivery providers, order management providers, tax invoice or billing service providers, accounting, tax, fraud prevention, data hosting, or other third-party service providers involved in product sales and after-sales support.

7.1. We may send or transfer your personal data to our affiliates or other persons in a foreign country if it is necessary in order for us to perform our obligations in the contract to which you are the counterparty or contract between us and third party for your benefit, to respond to your pre-contractual request; to protect your and third party’s life, body and health, to comply with laws or to the extent necessary for the public interest activities.
